Account Administrator


Job Description:
As the ACCOUNTING ADMINISTRATOR, you will manage perform the company’s activities regarding the entry and payment of the company’s cash disbursements. You will perform tasks hands-on, interact with other functional groups (e.g. project management, supply chain, accounting, executives, etc.) as well as directly with external suppliers. Essential duties and responsibilities:

The ACCOUNTING ADMINISTRATOR will work with the Chief Financial Officer to organize and perform timely activities focusing on the Company’s cash disbursements. The ACCOUNTING ADMINISTRATOR is responsible for the accurate and timely data entry of invoices, credit card charges, recurring payments and has responsibility for the Company’s petty cash.

The ACCOUNTING ADMINISTRATOR must be an energetic professional who does not mind performing large amounts of data entry, usually under time pressure, while maintaining a high degree of quality. Well organized, flexible and enjoys the administrative challenges of supporting an office of diverse people.

Invoice/Payment Data Entry:

  • Maintains 100% timeliness regarding the data entry of the company’s supplier invoices, credit card charges, and recurring payments with 24 hours of receipt.
  • Ensures that all recurring payments and credit card payments have been made timely as to not incur interest or penalties.
  • Performs daily reconciliation of balances between the company’s accounting system and the bank or credit card daily balances.
  • Informs the Company’s Chief Financial Officer immediately if invoices or charges are not aligned with the Company’s practices and controls.
Permits and Petty Cash :
  • Responsible for maintaining the Company’s Permit Checking account, including issuing checks to Permit Administrators, logging the checks in the accounting system, ensuring adequate funds are in the Permit Account, and reconciling the Permit bank account at the end of each month.
  • Responsible for the care and control of the Company’s Petty Cash box, including receipt collection for disbursements made to employee, and monthly reconciliation of the account and box.
Office Administration :
  • Responsible for timely filing of all relevant accounting records into the company’s physical files.
  • Office will be located at the front of the Administration building and this position will be required to greet occasional visitors and locate those that they will be meeting with.
  • May occasionally assist other administrative functions within the company, including travel arrangements, company events, other filing or administrative work as required.
Qualifications:
  • 3+ year's experience processing Accounts Payable is required

  • Manage permit process
  • Prepares permit/license applications per project at City or County level
  • Pysically delivers permits to building departments, overseeing the entire process from submission to approval
  • Physically delivers and gets signatures for any/all paperwork between homeowner and City/County Agencies
  • Provide exceptional customer service by maintaining a professional demeanor, develops and maintains relationsips, and communicate effectively with the City/County Agencies
  • Communicate clearly and quickly with managers and other departments about changes to process, requirements, or obstacles to workflow
  • Follow-up on issues with appropriate departments to move jobs through the permitting
  • process as quickly as possible
  • Upload approved plans, job cards, and job related files to our CRM system
  • Upload corrections to our CRM and notify the design team
  • Maintain a safe and clean office space.

Account Administrator


Job Description:
As the ACCOUNTING ADMINISTRATOR, you will manage perform the company’s activities regarding the entry and payment of the company’s cash disbursements. You will perform tasks hands-on, interact with other functional groups (e.g. project management, supply chain, accounting, executives, etc.) as well as directly with external suppliers. Essential duties and responsibilities:

The ACCOUNTING ADMINISTRATOR will work with the Chief Financial Officer to organize and perform timely activities focusing on the Company’s cash disbursements. The ACCOUNTING ADMINISTRATOR is responsible for the accurate and timely data entry of invoices, credit card charges, recurring payments and has responsibility for the Company’s petty cash.

The ACCOUNTING ADMINISTRATOR must be an energetic professional who does not mind performing large amounts of data entry, usually under time pressure, while maintaining a high degree of quality. Well organized, flexible and enjoys the administrative challenges of supporting an office of diverse people.

Invoice/Payment Data Entry:

  • Maintains 100% timeliness regarding the data entry of the company’s supplier invoices, credit card charges, and recurring payments with 24 hours of receipt.
  • Ensures that all recurring payments and credit card payments have been made timely as to not incur interest or penalties.
  • Performs daily reconciliation of balances between the company’s accounting system and the bank or credit card daily balances.
  • Informs the Company’s Chief Financial Officer immediately if invoices or charges are not aligned with the Company’s practices and controls.
Permits and Petty Cash :
  • Responsible for maintaining the Company’s Permit Checking account, including issuing checks to Permit Administrators, logging the checks in the accounting system, ensuring adequate funds are in the Permit Account, and reconciling the Permit bank account at the end of each month.
  • Responsible for the care and control of the Company’s Petty Cash box, including receipt collection for disbursements made to employee, and monthly reconciliation of the account and box.
Office Administration :
  • Responsible for timely filing of all relevant accounting records into the company’s physical files.
  • Office will be located at the front of the Administration building and this position will be required to greet occasional visitors and locate those that they will be meeting with.
  • May occasionally assist other administrative functions within the company, including travel arrangements, company events, other filing or administrative work as required.
Qualifications:
  • 3+ year's experience processing Accounts Payable is required
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize
  • Knowledge of accounting, data and administrative management practices and procedures
  • Microsoft Office skills: Google Apps, Word and Excel skills
  • AA or BS in Business/Accounting is preferred
  • Past experience in a company using QuickBooks is preferred
  • Past experience in a construction and/or warehouse environment is preferred
